Document Controller

About the Role

We are seeking a highly organized Document Controller to manage document workflows across active Medical Center construction contracts in the Northeast US. This role is the backbone of project documentation — the right candidate is meticulous, systems-driven, fluent in Autodesk Construction Cloud, and comfortable owning the full lifecycle of project records from submittal to closeout.

Core Responsibilities

Autodesk Platform Administration

• Serve as document control administrator for Autodesk Construction Cloud (ACC) / Autodesk Build across multiple active projects
• Set up and maintain project folder structures, permissions, and file naming conventions per contract requirements
• Upload, log, and distribute drawings, ASIs, RFIs, submittals, and specifications; maintain accurate revision control
• Ensure all incoming and outgoing project correspondence is properly filed and traceable

Submittal & Transmittal Tracking

• Maintain the master submittal log and transmittal log across all active contracts
• Log incoming submittals, route to the appropriate reviewer (PM, EOR, or Owner), and track turnaround against contract-required timelines
• Issue formal transmittals for drawings, submittals, RFIs, and correspondence; maintain a complete audit trail
• Flag overdue reviews and approaching deadlines to Project Managers

Records & Correspondence Management

• Maintain organized digital filing systems for contracts, change orders, REAs, meeting minutes, daily reports, and closeout documents
• Ensure document version control across all active projects — no outdated drawings or specs in circulation
• Support preparation of change order and REA packages by compiling supporting documentation and correspondence
• Assist with compiling as-built documentation and O&M manuals for project closeout
